Telephone
Our Reception Staff can answer your calls
in your Company name (additional unique DDI telephone number
required) or you can simply quote our main number (497000)
which is answered "Runnymede Malthouse". It is our
policy not to reveal the nature of the building. Outgoing
calls are charged to you at British Telecom standard rates
(see
BT's web site for details) as computed by our Communications
logger system (available on-line with valid login). Each month
we bill you for the previous months usage. When you logon
to our Telephone bill server, you can see reports for telephone
usage broken down into Department, Users, Destination, Most
expensive and even down to each individual call.
People calling you who find that you are
unavailable will always be asked to leave a message or prompted
to leave a message on your Voice Mail (if used). These can
be relayed (Voice mail can be e-mailed to you automatically)
or held according to your instructions.
Named Client Telephone Numbers (DDI)
Direct telephone numbers can be grouped onto
our main telephone console enabling incoming calls to be answered
by the Receptionist in a Client's own company name. This facility
is covered by an additional fully inclusive charge per line
which includes the cost of the line rental, exchange line
and extension line boards, maintenance and standard telephone
handset.
Direct Telephone Lines (DDI)
Direct telephone lines can also be made available
in any office for use as dedicated facsimile lines, data lines
or simply private direct lines. Practically any telecommunications
configuration is possible.
Facsimile
Most Clients have there own Fax machine in
their offices to which faxes are directed. Typically, we configure
these lines to "drop-back" to our central Fax machine
hunt group if a Clients machine is busy (during Bureau hours
only) in order that people communicating with your company
do not have to make several attempts when your fax machine
is busy sending or receiving. For Client's who don't have
their own fax machine, you can simply hand your fax to the
Reception Bureau staff and they will send it for you. We operate
with three fax machines which ensures that senders never have
trouble with busy lines. If connected to our Network then
you can send faxes directly from your PC to the Fax Server
as well as receive faxes (if you rent a personal DDI number)
directly to any e-mail account .
Mail/Post
Outgoing Mail can simply be placed in your
pigeon hole or handed in at Reception and is franked for you
and ready for Royal Mail collection by 4.30pm. We keep stocks
of all the usual post office supplies such as Recorded Delivery
Stickers, Customs Documents, Swift Air, Air mail, Special
Delivery, etc. which we are happy to handle for you at no
extra charge.
Couriers
Couriers can be ordered through Reception
who will arrange for the collection of parcels/documents and
their delivery. Simply leave the package at Reception and
we will do the rest. The cost will be booked to your sales
account with us.
Reception
Our staff will greet, receive and announce
your visitors. Seating, coffee and today's newspapers are
all at hand. Reception staff will accept delivery of parcels,
recorded delivery items etc. on your behalf.
Drinks
For your convenience we provide a drinks
vending machine which vends cold and hot drinks (hot chocolate,
coffee, tea etc.) The machine in coin operated. A fresh coffee
percolator is operated during office hours on a monthly subscription
basis.
Shredder
Confidential documents need to be disposed
of correctly. To this effect we provide shredding facilities
in the central Photocopy / Services room.
Binding/Pocket Laminating
Reports, Manuals and presentations can be
enhanced by our in house binding facilities. Thermal binders
provide a high quality presentation package for important
documents and Multi Ring (comb) binding provides a robust
and easy to use method for manuals. Pocket lamination gives
a durable and professional look and feel.
Helping Hands
If you need an extra pair of hands whether
it is to stuff envelopes, take telephone orders or do your
filing; we are always here and available to help.
Stationery
We all run out of the odd bits and
pieces and there is nothing more frustrating than having
to go out to get supplies when there is work piling up. We
keep a stock of regular items and have negotiated special
discounts with our suppliers (so you get them at knock down
prices as well as at the drop of a hat!). You are supplied
with a copy of our stationers catalogue, an internal stationery
order form and our list of internally stocked stationery items.
Colour Laser PrintING
Colour printing (double sided and up to A3 size) can be done via our Minolta Colour Photocopier direct from your PC (if you are connected via our Internet connection).
Cold Chocolate & Soft Drinks
The Reception Bureau stocks a range of cold
chocolate, drinks, biscuits, mineral water etc. which can
be purchased on a cash basis.
Photocopiers
Our Minolta colour Copier (BizHub) works via use of a seperate PIN code for each Client. Each month we read your meter and bill you accordingly.
The copy facilities we provide are extensive to say the least.
We stock a range of special materials for use with photocopiers
such as transparencies for use with overhead projectors, labels,
durable film etc.
Automatic recirculating document feeders
make easy work of copying manuals and other multi-page documents
Sorter / collators, separate up to 40 copies of a document
ready for binding etc. (it will even staple the copies automatically!).
Automatic double sided copies can be made from double sided
originals even multi page documents can be copied in this
way.
Word Processing
Word processing has advanced significantly
from the early days. We use Windows XP and Microsoft Office
2003 software. All of the work we do is saved on hard disk
"client directories" on the central sever and remain
client property. By using a laser printer we can produce large
mail shots quickly and efficiently. We can incorporate different
graphics from a wide range of industry standard software.
We can produce all sorts of shapes and sizes of text and the
results are so good that printers can make printing plates
directly from the output. A wide variety of international
characters and mathematical symbols are available. We can
import or export from your work from many other popular word
processing packages. The Bureau is equipped with a scanner
and colour printer.
Internet & E-mail
The so called "Information Super Highway"
is accessible through direct dial-up modem access or permanent
connection via our "Communications" Network. All
telephone extension users are automatically allocated an e-mail
address in the format extn_name@malthouse.co.uk. Should you
require an e-mail address then we can supply it in the format
clientname@malthouse.co.uk which is serviced by our e-mail
server and delivered directly to your "IN' box if you
are connected to our Network or alternatively forwarded to
another e-mail address or simply printed off and handed to
you.
Calling Line Identification (CLI)
The CLI facility identifies the telephone
number from which the caller is calling. This information
can be displayed on a feature phone instrument LCD display
and logged on our call logger. Users on our Network can access
real-time telephone bills and incoming caller history via
Browser access. This facility can prove an invaluable aid
in monitoring all the aspects of telephone abuse and productivity
more usually associated with outgoing calls.
Computer Telephony Integration (CTI)
We provide computer telephony integration
(CTI) through our network which incorporates ALL communications
(telephone, Voice mail, Fax, e-mail, Files/storage and Video
Conferencing). We provide "screen popping". This
provides the facility for your computer integration with our
telephone system. Typical examples of this technology's applications
would be in the computer bringing up customer or supplier
details, on screen, as your phone rings! (the computer is
passed the telephone number the caller is dialing in from
and uses that to look up a record in your Windows database).
Trunk to Trunk
We have the ability to answer an incoming
call, place it on hold, dial you on your mobile or home number
and connect the two calls. You will incur the cost of the
call to the dialed number. This facility works from any extension
so you can transfer callers similarly. You can set your extension
to automatically divert to a stated number should you require.
CT based Telephony
Our new Computer Telephony equipment gives
us complete integration between Computer Network and Telephone
system.
